Transformer RFQ Checklist: Information Buyers Should Provide

A useful transformer RFQ checklist should define the electrical duty, installation conditions, applicable standards, required accessories, quantity, and delivery destination. Capacity and voltage alone are rarely enough for a reliable technical proposal.

Transformer RFQ checklist: minimum information

• Rated capacity: kVA or MVA for each unit.
• Primary and secondary voltage: include system grounding and neutral requirements where applicable.
• Phase and frequency: single-phase or three-phase, and 50 Hz or 60 Hz.
• Transformer type and installation: pole-mounted, pad-mounted, dry-type, substation, indoor, or outdoor.
• Quantity and destination country: needed for production planning, documentation, packing, and commercial terms.
• Applicable standard: identify the required IEEE, IEC, utility, national, or project specification. The exact edition should be stated when the tender requires it.

Electrical details that prevent rework

In your transformer RFQ checklist, include the following details where they apply: vector group, percentage impedance, insulation level or BIL, tap range and tap-changer type, temperature-rise limits, loss requirements, winding material requirements, neutral arrangement, and short-circuit withstand requirements.

For pad-mounted transformers, also identify radial-feed or loop-feed arrangement, dead-front or live-front construction, terminal layout, and required protection devices. For substation transformers, provide the single-line diagram, cooling method, control voltage, protection scheme, and any transport or dimensional limits.

Site and environmental conditions

• Maximum and minimum ambient temperature
• Installation altitude
• Indoor or outdoor service
• Humidity, coastal, dust, pollution, seismic, or corrosive conditions
• Noise restrictions and enclosure rating
• Space, lifting, foundation, and transport constraints

Documents to attach

Attach the purchaser’s datasheet, single-line diagram, general arrangement requirements, tender specification, approved vendor list requirements, and any utility drawings. If some information is not yet available, mark it as TBC instead of guessing.

Commercial information

State the required delivery date, Incoterm and named place, inspection or witness-testing requirements, document language, packing requirements, warranty terms requested, and quotation validity expectations. These items can materially affect price and lead time.

State whether you need a budget estimate for early planning or a firm proposal against an approved specification. Identify mandatory requirements separately from preferences, and ask the supplier to list exclusions and deviations clearly.

What if some parameters are unknown?

Mark them TBC, meaning to be confirmed, and identify who will confirm them: the project engineer, utility, or purchaser. Do not substitute an assumed rating simply to complete the transformer RFQ checklist. Outstanding requirements should remain visible during technical clarification.
