Dry-Type Transformer Receiving and Storage: Handover Records

Dry-Type Transformer Receiving and Storage: Handover Records

A dry-type transformer receiving and storage handover should preserve unit identity, arrival condition, the applicable storage instructions and a record of custody until installation. Record damage and exposure when they occur, assign an owner to unresolved issues and obtain the required release before moving the unit into the installation process. A signed delivery note proves receipt only to the extent stated; it does not establish that a stored transformer is ready to energize.

This guide is for warehouse managers, EPC procurement teams and electrical contractors handling medium-voltage dry-type distribution transformers for IEC-specified industrial projects. It proposes a document workflow for equipment awaiting installation. It is not a lifting, drying, electrical-testing or commissioning procedure.

Cover: AI-generated illustrative receiving and storage scene; not an actual HEAKOR shipment, approved packaging design, wiring example, inspection record or test evidence.

Agree the dry-type transformer handover basis before arrival

Request the proposed equipment's receiving, handling and storage instructions before delivery. The correct requirements depend on the insulation construction, enclosure, packaging, accessories and expected storage period. Ask for the document number and revision, not only a generic instruction sheet.

Give the supplier the planned warehouse or temporary site-storage arrangement and identify any unprotected period. Confirm whether the proposed packaging is intended for that arrangement and how it should be restored after inspection. If installation is delayed, seek an updated storage plan before assuming the original protection remains adequate.

IEC 60076-11:2018 addresses dry-type transformers within its defined voltage and equipment scope, including climatic, environmental and enclosure considerations. An equipment classification does not replace the supplied unit's storage instructions or prove that temporary packaging provides the same protection as the installed arrangement.

Name the receiving inspector, storage custodian, person authorised to approve deviations and party responsible for installation release. These roles may belong to different organisations; clarify the transfer points in the purchase and project records.

What belongs in the dry-type transformer receiving record?

Record what arrived, its condition and any limits on the inspection performed. Start with the manufacturer's unit identifier, project tag, packing-list reference and delivery date. Match the nameplate information available to the order and approved equipment schedule.

Photograph the packaging and accessible equipment condition before movement or repair changes the evidence. Record damaged, missing or wet packaging, visible enclosure deformation and missing accessories where observed. Do not claim that internal condition was checked if the inspection did not provide access.

Suggested record set from receipt to installation handover
Record Minimum useful information Responsible decision
Receipt and identity Unit identifier, project tag, packing reference, date and inspector Does the shipment match the order?
Condition evidence Photographs, observed damage, missing items and inspection limits Is a supplier or carrier notification required?
Storage basis Manual revision, approved location, protection measures and review date Who confirms the arrangement is suitable?
Custody log Location changes, dates, responsible parties and condition at transfer Who owns protection and inspection at each stage?
Exception register Exposure event, affected unit, instructions received and closure evidence Is technical disposition still outstanding?
Installation handover Current condition, open items, accepted records and required release Can the unit enter the approved installation process?

This table is an original buyer checklist. Contractual notices, deadlines and acceptance rules come from the agreed terms; the checklist does not create a standard notice period or settle responsibility for damage.

Keep dry-type transformer storage tied to equipment instructions

Document how the actual storage location meets the agreed requirements. Record protection from weather, moisture, dust, contamination and physical impact as relevant. Identify who inspects that protection and how a change in condition is reported.

Plan temporary storage separately from the final installation. A dry-type transformer intended for an enclosed room, an outdoor enclosure or a particular environmental class may need different handling during delivery and before installation. Do not infer storage suitability from the product category alone.

Public technical guidance illustrates why cleanliness deserves explicit attention. The U.S. Bureau of Reclamation's FIST Volume 4-1B, January 2026 revision includes checks for dirt accumulation and debris around dry-type transformers and their rooms or enclosures. That maintenance guidance has its own facility scope; it is not a HEAKOR storage specification or a universal inspection interval.

For a procurement record, the useful next step is to request the supplied unit's protection and inspection plan. Avoid importing cleaning methods, heater settings, test voltages or lifting arrangements from a manual for a different transformer design.

Record dry-type transformer custody changes and delayed installation

Each transfer should state the unit, location, condition and remaining actions. A transformer can move from a receiving area to a warehouse, then to a temporary site location before the installation contractor takes responsibility. Keep those transfers in one chronology.

Link photographs and issue references to the relevant transfer. If protective covers or packaging were opened for an approved inspection, record who restored them and which instructions were used. When equipment is relocated, retain the movement and condition records required by the project.

If the schedule changes, review the storage duration and location against the supplier's instructions. Ask for written guidance when the arrangement changes or the planned period is exceeded. There is no single storage duration in this guide that can be applied to all dry-type transformers.

What should happen after moisture exposure or damage?

Record the event and request a technical disposition before treating the issue as closed. Note the time, affected unit, observed condition, photographs and actions already taken. Keep the original evidence even if an apparent problem later disappears.

Assign the decision to the appropriate supplier or project technical authority. Additional inspection, testing, drying, repair or replacement may be needed, depending on the design and exposure. Those actions require approved instructions and qualified personnel; a warehouse checklist cannot specify the correct treatment.

Do not close an issue solely because packaging was replaced or a surface looks dry. Retain the written disposition, any required work records and the authorised release. Separate the physical completion of work from acceptance of its result.

Handover to installation is a separate milestone

Give the installation team an equipment file that explains the unit's condition throughout storage. Include the approved equipment schedule, manual revision, receiving record, custody log, exception closures and current photographs.

List any remaining document or accessory shortages explicitly. Clarify whether the sign-off transfers custody, accepts delivery condition or authorises installation. Permission to energize requires the separate commissioning and project approval process.

For the earlier specification stage, use the project requirements guide to define the equipment and document scope. This receiving and storage file records what happened to the supplied unit after arrival.

Frequently asked questions

Does an outdoor enclosure make temporary outdoor storage acceptable?

Do not assume it does. Confirm the condition of the shipped assembly, packaging and accessories against the supplied storage instructions and actual exposure.

Can receipt be signed while a damage review is open?

The meaning of a signature depends on the contract and form. Record the observed condition and open issue clearly, and follow the agreed notification and acceptance process.

Should humidity readings be included in the log?

Include measurements when the approved storage plan requires them. Record the location, time and instrument reference so the data can be interpreted. Do not invent a universal humidity threshold.

Does the storage file replace commissioning tests?

No. It supplies condition history to the installation and commissioning team. The responsible engineer defines the required checks and tests for the actual unit and project.

Plan the dry-type transformer handover with HEAKOR

Review the HEAKOR dry-type transformer enquiry page and send the destination, phase, rated power, voltages, frequency, enclosure requirement and expected installation date. Describe the storage location and period, and request the relevant packing, manual and handover documents.

Use the technical document centre to prepare your document list, then Submit Your Project Specification. Equipment suitability, storage instructions, document availability and supply scope require confirmation for the proposed configuration.
